General issues
At THWS, we take the protection of your personal data very seriously. This includes informing you which data we process when, how and for what purpose. In this data protection declaration we inform you in accordance to Article 13 GDPR about data processing in connection with your application for and participation in an advanced training programme. It applies in addition to the general data protection declaration for the services, administrative services and information offered on the web pages of the Technical University of Applied Sciences Würzburg-Schweinfurt under the domain thws.de.
The English version here only serves the purpose of providing information on the contents of the corresponding German version. Only the German version is legally binding.

Purpose and legal basis of processing
Your data will be processed for the processing of your application and - insofar as admission to the programme takes place - for further internal administration during the course of the programme.
Your data is processed on the basis of Article 4 (1) BayDSG in combination with Article 2 (5) BayHSchG and Article 6 (1) letter b GDPR.
Recipients of your personal data
Data may be passed on to organisational units of THWS, the Studentenwerk, contractual partners, cooperation partners, and service providers. Insofar as the recipients do not process the data in accordance with instructions within the framework of a contract for order processing, we only disclose the data if you have consented or if legal requirements are met, in particular Article 5 BayDSG.
In the event of participation in the advanced training programme, your personal data (name, address) will be passed on to the Staatsoberkasse Bayern (Bavarian State Supreme Fund) for invoicing tuition fees/course fees.
Duration of the storage of personal data
We do not store your personal data for longer than it is necessary for the specified purpose of processing.
After completion of the application phase, your data will be deleted, unless it is required for further study processes and in the Campus Management System. The latter data is deleted upon de-registration, unless it has to be kept for archival purposes and after legal deadlines.
Rights of persons concerned
According to the General Data Protection Regulation, you have the following rights:
- When your personal data is processed, you have the right to obtain information about the data stored on your person (Art. 15 GDPR).
- Should incorrect personal data be processed, you have a right to correction (Art. 16 GDPR).
- When the legal requirements are met, you can request the deletion or restriction of processing and file an objection to processing (Art. 17, 18 and 21 GDPR).
- If you have consented to data processing or a contract for data processing exists, and data processing is carried out using automated procedures, you may have a right to data transferability (Art. 20 GDPR).
If you make use of your above-mentioned rights, the public authority will check whether the legal requirements for this have been met.
Furthermore, there is a right of appeal to the Bavarian Data Protection Commissioner.
Other information regarding our privacy policy
We reserve the right to occasionally adapt this data protection declaration so that it always complies with current legal requirements or to implement changes to our services in the data protection declaration, e.g. when introducing new functions and services. The new data protection declaration will then apply for future use.
